VLSID-2026 Important Guidelines for Fellowship Aspirants
The VLSID-2026 Organizing Committee is pleased to announce fellowships to selected faculty members and meritorious students who lack financial support from their parent institutions to attend the full five-day conference. These fellowships are intended to encourage wider participation and to support deserving candidates attending the conference.
There are two categories of fellowships: Student Fellow and Faculty Fellow
Candidates applying for Student Fellowship should be currently enrolled in a B. Tech/ M. Tech/ M.S/ Ph.D./ Post-Doctoral program or an equivalent program in the broad fields of VLSI design/embedded systems/computer system, or other areas closely aligned with the theme of the conference. Project staff working on R&D-funded projects in these areas at academic institutions are also eligible to apply under this category.
Candidates applying for Faculty Fellowship should be a regular full-time faculty members of academic institutions, preferably engaged in research related to VLSI design/embedded systems/computer system, or other areas closely aligned with the conference theme.
Applicants are encouraged to apply for a fellowship strictly on a need basis, as genuine discretion will enable the Organizing Committee to extend support to a larger number of deserving candidates.
Based on the place of study/work of the applicant, fellowships will be offered in two types:
- Local Fellowships: for faculty and students from Pune-based academic institutions.
- Outstation Fellowships: for faculty and students from institutions outside Pune.
FELLOWSHIP SUPPORT DETAILS FOR LOCAL FELLOWS
- TRAVEL SUPPORT – NIL
- ACCOMODATION SUPPORT – NIL
- CONFERENCE REGISTRATION SUPPORT – Each fellow will get a complimentary registration that includes the conference kit, lunch on all the 5 days, banquet dinner on day 4, access to all technical programs and a forum to interact with other conference delegates.
FELLOWSHIP SUPPORT DETAILS FOR OUTSTATION FELLOWS
A. TRAVEL SUPPORT
- Travel assistance for faculty members and students will be provided as per the predefined slabs as outlined in the Table 1 below. Reimbursements will be made on the basis of actual expenses or the slab amount, whichever is lower.
- Applicants seeking travel support must undertake their journey to and from the conference starting from their place of work in order to be eligible for reimbursement If you wish to have the travel from your home, then relevant proof of residence has to be submitted to be considered for reimbursement.
- Student fellows will additionally receive a local commute allowance of ₹ 100 per day (for all 5 days of the conference) for commuting between the accommodation arranged by VLSID and the conference venue.

B. ACCOMODATION SUPPORT
Outstation Student Fellows:
Complimentary accommodation for student fellows traveling from outside Pune will be arranged on a double/triple sharing or dormitory basis at locations close to the conference venue. Final details regarding the place of stay and related logistics will be communicated to the fellows in due course. Complimentary breakfast will be provided at the place of accommodation on all 5 days of the conference.
Outstation Faculty Fellows:
Faculty fellows are required to make their own accommodation arrangements, ensuring proximity that allows them to reach the conference venue on time on all days. VLSID will not arrange stay for faculty fellows under any circumstances. An accommodation allowance of ₹ 1,500 per day or the actual amount incurred (whichever is lower), up to a maximum of 6 nights will be reimbursed, subject to submission of original hotel bills as proof of stay. Faculty fellows are encouraged to share rooms in order to optimize costs and meet budget constraints.
C. CONFERENCE REGISTRATION SUPPORT
Each fellow will get a complimentary registration that includes the conference kit, lunch on all the 5 days, banquet dinner on day 4, access to all technical programs and a forum to interact with other conference delegates.
FELLOWSHIP APPLICATION PROCESS
- Application: Submit your fellowship application through the portal, ensuring all relevant details are provided. The application portal includes a file upload section where:
- Faculty fellow applicants must provide a recommendation letter from their HOD/Principal/Director (or equivalent) on the official institute letterhead.
- Student fellow applicants must provide a recommendation letter from their Supervisor or HOD on the official institute/department letterhead.
- Selection Notification: Shortlisted candidates will be informed via email in the 1st, 2nd, or 3rd round, as per the schedule published on the conference webpage.
- Confirmation: Selected applicants must confirm their participation by submitting a soft copy of the Demand Draft (DD) of ₹ 5,000 + applicable GST. (Details of the DD will be shared with shortlisted candidates).
- Conference Participation: The hardcopy of the DD will have to be submitted on the first day of conference to the fellowship committee. The DD is NOT a registration fee, but it is considered as a caution money for blocking your seat as a fellow. The DD will then be returned upon successful completion of all mandatory fellowship requirements, which include full attendance from 03.01.2026 to 07.01.2026. The candidate has to cancel the DD in the same bank from where it is issued. Make sure you understand the DD cancelation process at the time of DD issuance.
- Reimbursement Submission: Fellows must present their identity card as proof of affiliation during the conference to be eligible for reimbursement. On the final day, they should also submit all necessary documents required for processing the reimbursement.
- Reimbursement Settlement: After proper verification of submitted records, bills, tickets, and boarding passes, the reimbursements will be processed and disbursed within 60 days after the completion of the conference. Reimbursements will be made only through bank transfer, so applicants are requested to provide correct bank account details when requested.
EXPECTATIONS FROM THE FELLOWS
- All fellows receiving fellowship are expected to attend all tutorials and technical sessions on all day of the conference.
- All fellows must reach the conference venue at 9.00 AM every day and stay till all the technical sessions are over.
- Fellowship awardees who are authors of regular papers, User Design Track participants, Design Contest participants, or Student Research Forum/PhD Forum participants must also adhere to these fellowship guidelines.
- Attendance will be recorded for each session, every day.
- Failure to maintain attendance may result in forfeiture of the Demand Draft (DD) return and/or reimbursement of travel and accommodation expenses.
- The rooms are booked for fellows from 02.01.2026, 2 PM till 08.01.2026, 10 AM. Hence, all outstation fellows must plan their travel such that they arrive in the place of accommodation in Pune between 02.01.2026, 2 PM to 03.01.2026, 7 AM. Similarly, all outstation fellows must plan their departure such that they leave the place of accommodation in Pune between 07.01.2026, 5 PM to 08.01.2026, 10 AM. Request for accommodation outside these mentioned time slot will not be entertained.
- Late arrivals or early departures will not be permitted. In such cases, the Fellowship Committee reserves the right to forfeit part or all of the registration fee reimbursement.
